The JLGB accepts no liability whatsoever for the cancellation or curtailment of a JLGB camp or event as a result of withdrawal of services by a supplier, extreme weather, infectious disease or any factor out of JLGB's control. Therefore the JLGB recommends that every applicant has adequate insurance cover for all camps and events. This should include cancellation cover and medical cover. The JLGB reserves the right not to make any refund of any monies paid in such circumstances.
In the event that a participant or leader cancels their application or fails to pay the full cost within the required time limit and therefore is unable to attend camp, any cost incurred, including travel costs, are the responsibility of the applicant and/or parent/guardian.
JLGB is unable to offer any protection or cover for circumstances where a participant cancels their place due to any reason, such as injury, illness, contagious disease, isolation or personal circumstance to themselves or their family. Any refund offered would follow the terms stated above and applicants may wish to obtain their own cancellation insurance cover.
Should any participant choose to leave a camp or event early, be excluded or be sent home due to illness/home sickness, their parents/guardians or alternative contact person will be liable to collect them from the from the campsite within 24 hours. No refund will be given or any expense incurred refunded.
Where arrangements cannot be made for the participant JLGB reserves the right to make suitable arrangements at the full cost to the applicant and/or parent/guardian who will be obligated to pay the cost within 7 days of the issue of an invoice setting out the costs incurred.
JLGB recommends that all participants and leaders obtain suitable travel insurance which should cover cancellation, curtailment, medical and other potential issues.
It is the Parents/Guardian's responsibility to obtain a valid passport prior to departure. Participant's passports must be valid for 6 months after the date of their return to the UK. If you need to get a new passport, please do it immediately as this can take considerable time, particularly in the run-up to the summer.
If the issuing country of your passport is not the UK, it is the Parents/guardian's responsibility to check Visa requirements for entering Europe, and to ensure the relevant visas are obtained before tour takes place. If you require any information from us or a letter to obtain a Visa please contact us.
Applicants will be required to carry a UK Global Health Insurance Card (GHIC) whilst on tour with JLGB. This is to help facilitate accessing healthcare while abroad. It is a free card to apply for and can be applied for at https://services.nhsbsa.nhs.uk/cra/start.
Please note that pre-existing medical conditions are not always covered by Medical Insurance. If the participant has any pre-existing medical conditions they should satisfy themselves that they have suitable cover. JLGB may require proof of a participants own medical insurance or a signed waiver.
A limited number of places may be made available at some camps and events for non-members under the age of 16 who meet one of the following criteria:
It is the responsibility of non-members and JLGB members to check carefully their eligibility to attend a JLGB camp or event. It is also their responsibility to complete the online application form honestly and accurately. If it is later found that an applicant does not meet the criteria above, their application will be immediately withdrawn. Costs incurred will be claimed before any refund is given. If the participant is at a camp or at an event, the JLGB reserves the right to require such participant to be sent home at their own expense with no refund.
The purpose of this policy is to ensure all participants enjoy their time at JLGB camps and events. This policy outlines the behaviour expected, examples of unacceptable behaviour, and the sanctions that may be applied. All participants and young leaders are subject to this policy and must treat others, including staff with respect. Unacceptable behaviour will lead to disciplinary action, including possible removal from the JLGB camp or event.
By attending a JLGB camp or event, we expect participants, young leaders, staff and volunteers to adhere to the following:
The following, although not exhaustive, lists examples that constitute unacceptable behaviour whilst at a JLGB camp or event:
Where participants are allocated accommodation for a camp or event, they are not allowed to enter any accommodation that is not their own, except for organised meetings under the supervision of a JLGB Leader. All sleeping and living accommodation should be kept clean and tidy at all times.
Appropriate clothing must be worn by all staff and young people. T-shirts with sleeves should be worn in sunny weather to protect from sunburn. In the interests of modesty revealing clothing which shows midriffs, cleavage or 'short shorts' are not appropriate attire for JLGB camps or events. Clothing with offensive images or words must not be worn.
Bullying and intimidating behaviour will not be tolerated. Activities which may constitute a form of bullying include: Physically - pushing, hitting, slapping, preventing access to sleep or showers etc.; Verbally - name-calling, spreading rumours, constant teasing and sarcasm; Emotionally - ridiculing, humiliating, ignoring or excluding others; Racially - taunts, graffiti and gestures; Sexually - unwanted physical contact or abuse; Electronically - unwelcome messages or images via texts, e-mails, social media, WhatsApp or blogs.

Participants are not allowed to bring or smoke/vape cigarettes, e-cigarettes/vapes or similar whilst at JLGB camp/events.
The use of bongs, hookahs, or similar or associated items, for the purpose of smoking flavoured tobacco or other substances, is strictly prohibited.
It is forbidden to bring any form of weapon to a camp or event and any contravention of this rule will result in the participant being excluded from the remainder of the camp or event.
For safety reasons, all activity areas and other areas declared as 'Out of Bounds' are strictly out of bounds except when accompanied by a suitably qualified leader. Out of bounds areas include: Site boundaries; instructor led activity areas; and areas designated for certain age groups, roles or gender.
Should it be thought necessary to search for prohibited items such as alcohol, drugs, or weapons, the participant is deemed to have given permission for a leader to search the personal belongings and luggage of the participant.
If a leader is prevented from so doing, then JLGB is entitled to interpret such refusal as an indication that such prohibited items are in the possession of or under the control of such participant.
All participants at JLGB camps and events are required to comply with all rules and regulations issued. JLGB has a number of possible sanctions for breaches of JLGB's Behaviour Policy, including removal of privaleges, exclusion from activities or with more serious or repeated breaches, the removal from JLGB's camp at their/their parents own expense. Whilst we try to avoid sanctions where possible, JLGB reserves the right to take reasonable action in cases of disruptive, anti-social or persistent bad behaviour. JLGB reserves the right to exclude any Participant that they consider unsuitable for the camp or event.
Participants will receive two warnings in relation to their behaviour before exclusion, however JLGB reserves the right to exclude a participant immediately, without any warning, in cases where the breach of behaviour is serious enough.
Below is outlined the steps taken up to and including exclusion:
First Warning: This is a formal warning given to the participant. The participant will have an opportunity, at the earliest convenience, to talk with their leader away from their peers to discuss their behaviour and agree a way forward. Parents may be notified where appropriate.
Second Warning: This is a probation warning; participants will again have the opportunity to discuss their behaviour with their leader and/or senior staff member away from their peers. Agreements will be made to ensure that the participant can keep their behaviour to an acceptable level. Parents will be notified about a second warning and reminded that if there is a further offence their child will be excluded from the remainder of this camp or event.
Exclusion: Should there be further behaviour that requires a participant to be sent home, they will be given the opportunity to discuss this with their leader and/or a senior staff member before a decision will be made. Parents will be notified of the exclusion.
Should any Participant be excluded or be sent home due to illness/home sickness, their parents/guardians or alternative contact person will be liable to collect them from the from the campsite within 24 hours. No refund will be given or any expense incurred refunded.
In case of the unlikely event that a participant is sent home, please make sure that the disclosed emergency contact(s) can make suitable arrangements.
Where arrangements cannot be made for the participant JLGB reserves the right to make suitable arrangements at the full cost to the applicant and/or parent/guardian who will be obligated to pay the cost within 7 days of the issue of an invoice setting out the costs incurred.
Please note: Being sent home from a JLGB camp or event for discipline issues may affect a participant's eligibility to be accepted onto future JLGB local groups, camps, events or JLGB's Duke of Edinburgh's Award Programme. JLGB reserves the right to carry over warnings from one camp or event to any other camp or event.
The welfare of all those attending a camp or event is extremely important. If there are any problems, no matter how small, there are always leaders available to talk to and they are encouraged to discuss any problem with them in confidence.
For participants of Junior camps or events (School Years 3-5/6), mobile phones will not be allowed. Mobile phones should be left at home, and any phones taken to camp will be collected for safekeeping for the duration of camp.
For particpants in School Years 6/7 to Year 10, any mobile phones brought to camp will be collected in, and their use will be limited to allotted times during camp, ensuring they do not interfere with camp activities and provide a safe and engaging environment for all participants.
When collected, mobile phones will be labelled and securely stored in lockers. JLGB leaders will be responsible for the collection and distribution of phones at the designated times.
JLGB does not hold insurance cover for personal items, and therefore cannot take responsibility for any damage, loss or theft caused to mobile phones or other personal items. We recommend parents check their household insurance policies to see if phones are covered for such incidents.
We recommend that you clearly label mobile phones and/or battery packs with full name and date of birth.
We understand that some participants may have diagnosed conditions requiring the use of tablets, devices, or headphones for medical connectivity or accessibility reasons. In conjunction with our medical and welfare team, participants with known conditions will be supported to keep these devices with them as needed throughout their stay.
JLGB encourages participants to ensure that their phones are switched off when they are collected to conserve charge. Particpants may also wish to bring a battery pack for top-up charging. There will be a reasonable, but understandably limited, facility for participants to charge phones or battery packs during their alloted mobile phone use times, however, mobile phones and battery packs should be supervised at all times. Any phones or battery packs left unattended may be unplugged and collected in for safekeeping.
Participants found in possession of a mobile phone that has not been properly handed in and recorded may have their phone confiscated for the remainder of the camp, and parents will be contacted. Continued breach of JLGB's mobile phone policy may result in sanctions in line with our behaviour policy.
Parents are reminded that if they have any concerns about their child's welfare at camp, we have an emergency camp phone number and a dedicated pastoral, welfare, and behaviour team to support any worries you or you child may have.
For any worries, concerns or urgent matters, parents can contact the camp office directly by calling the emergency helpline number, 020 3866 9999. All calls will be logged and we will endeavour to resolve all queries as swiftly as possible.
Non-urgent calls should be made between 9am and 8pm. Outside of these times please email hello@jlgb.org.
Unnecessary cash or valuables should not be brought to a camp or event. JLGB is NOT insured for loss or damage to participants or leaders belongings and will not accept liability for loss or damage to participants or leaders personal possessions; participants and leaders should therefore satisfy themselves that they are adequately insured.
JLGB recognises that for some young people mobile phones are important. JLGB recommends that participants do not bring expensive mobile phones, games consoles or other electronic devices and JLGB does not accept any liability for the loss or damage of any device bought to camp. Mobile phones/other devices may not be used in any session unless explicit permission is given by a leader, or it is part of the session. If a participant's phone/device is used during sessions or is involved in any other unacceptable behaviours then the phone/device may be confiscated, and warnings may be given.
Participants or their parent/guardian will have to pay for any damage caused by any action or omission by the participant. If something is damaged, a leader should be notified in order that it can be repaired or replaced.
Any payment made to an intermediary is at the risk of the applicant and is not the responsibility of the JLGB and confirmation of your acceptance and attendance at camp is subject to receipt of payment by JLGB.
Travel from overseas to and from JLGB camps and events are not included in the payment.
In respect of travel to and from overseas and activities before or after camp, although cost of this may be collected by JLGB and the JLGB may assist in such activities, the JLGB is not responsible for the supervision & welfare of the participants who will be under the control of the leaders nominated by their local group.
Any unidentified property found around camp should be handed in to the Information Desk. Anyone seeking lost property should enquire at the Information Desk and may be required to provide proof of ownership. It is strongly recommended that all belongings are marked with their full name and contact telephone number. Any property not claimed by the end of camp will be returned to the JLGB Headquarters and will be kept for four weeks; anything remaining after this time will be disposed of or donated to charity.
Participants are not allowed to leave the campsite without permission.
No visitors will be allowed onto camp without the permission of the Camp Director or Camp Administrator.
Details of fire and evacuation procedures will be available at each camp as they will differ depending on the camp site.
Those given permission to take their vehicle to camp must observe the speed limit and other regulations at all times.
The JLGB uses media content (including photographs and video footage) of its camps, activities and events to explain and publicise the work that the JLGB does. This is done in order to inform the local and wider community and to raise vital funds which help us to continue providing the services that we offer. Media content may appear in the press (including newspapers, websites) as well as online, on the JLGB's own website or social networking sites such as Facebook or YouTube. By accepting this agreement we consider permission has been given for such media content to be used.
The JLGB reserves the right to amend, alter, substitute or in any other way vary these terms and conditions and the participant is deemed to accept the terms and conditions so adjusted from time to time.
